1. Introduction

Smarter School Psych LLC (“we,” “us,” or “our”) respects your privacy. This Privacy Policy describes how the Rating Scale Connect Google Workspace™ Add-on (the “Service”) handles your data and protects your information.

Our Service is designed with a “Privacy-First” architecture. We do not store your data on our own servers. The Service operates entirely within your own Google account environment.

2. Information We Collect (and Don’t Collect)

A. User Data

We do not collect, transmit, or store any personal data entered into the Rating Scale Connect spreadsheet (such as Student Names, Respondent Names, Emails, or Rating Scale Links) on external servers. All data input into the spreadsheet remains strictly within your Google Drive™ and is processed locally by Google’s servers to perform the functions of the Add-on.

B. Usage Data

We do not use analytics software (such as Google Analytics) inside this Add-on to track your behavior. We do not track your IP address or location.

C. Settings and Preferences

The Add-on saves your configuration preferences (such as your Email Templates, Form Names, and Sender Name) using Google’s PropertiesService. This data is stored directly attached to your specific Google Sheet or your Google Account and is not accessible to us.

3. How We Use Your Information

The Service accesses your data solely to provide the features requested by you. Specifically:

  • Spreadsheet Data: Used to populate the “Open Cases” sidebar and to determine which forms are unreceived.
  • Gmail Integration: Used to construct and send emails to Respondents on your behalf, using the templates you define.
  • Sidebar Interaction: Used to display your case list and help you manage your workflow.

4. Google API Services User Data Policy (Limited Use Disclosure)

Rating Scale Connect’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • We do not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for the Service’s internal operations and even then only when the data have been aggregated and anonymized.
  • We do not use or transfer the data for serving ads, including retargeting, personalized, or interest-based advertising.

5. Data Storage and Security

Because the Service is an Add-on that runs inside Google Workspace, your data is stored on Google’s servers, not ours. Your data is protected by the same industry-leading security protocols that protect your Google Drive and Gmail.

6. Student Privacy (FERPA and COPPA Compliance)

We understand that this tool is used by educational professionals to manage sensitive student data.

  • FERPA: We act as a “School Official” with a legitimate educational interest in the functionality of the tool. However, because we do not transfer data to our own servers, the control of FERPA-protected data remains entirely with you (the Educational Agency/Institution).
  • COPPA: We do not knowingly collect personal information from children under 13. The tool is intended for use by adult professionals (School Psychologists/Educators).

7. Third-Party Sharing

We do not sell, trade, or otherwise transfer your information to outside parties.

The Service facilitates links to third-party assessment platforms (e.g., Pearson Q-Global™, MHS, etc.) via the URLs you input. We do not share data with these entities; the Service simply emails the links you provide to your Respondents.

8. Your Rights (Data Deletion)

Since we do not store your data, you are in full control of it.

  • To delete your data: Simply delete the rows in your spreadsheet or delete the Google Sheet file entirely.
  • To revoke access: You can remove the Add-on at any time via the Google Workspace Marketplace management settings.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date. You are advised to review this Privacy Policy periodically for any changes.
